Link your privacy notice from a hosted page

Set one Privacy notice address under Branding in Team settings and every hosted page your team publishes links to it from the footer. Where to set it, where it shows, and what it does not do.

A hosted page is a form page FormFlow serves for you. Since Release v1.20.0 (2026-10-01), a team can put a link to its own privacy notice in the footer of every hosted page it publishes. This tutorial shows where to set the address, where the link appears, how to check it, and what the feature deliberately does not do.

The idea is small. You write and host the notice yourself. FormFlow only links to it, under link text FormFlow chooses. The Team owns the setting for the same reason it owns the hosted logo: a business has one notice, and it belongs to the business, not to a single form.

Before you start

  • You need to be a Team owner. The Changelog entry names Team owners as the people who can add the link.

  • You need a notice that already lives at a public address. FormFlow does not host or write it.

  • The address must start with https:// and name a full domain. Have it ready before you open the settings, and paste the full address rather than typing it from memory.

  1. Sign in as a Team owner and open Team settings.

  2. Find the Branding section and its field labelled Privacy notice link.

  3. Enter your notice address, for example https://example.com/privacy, using your own domain.

  4. Choose Save changes.

  5. Open one of your hosted pages in a browser and scroll to the footer.

To remove the link later, return to the same place, leave the address blank and save. Leaving it blank is the documented way to remove the link.

The setting belongs to the team, not to a single form. Per the Release entry, every hosted page your team publishes shows the link once it is set.

Check where it appears

In the footer you should see a link labelled "Privacy notice", beside "Report this form". Two details are worth knowing:

  • The label is shown in the language the page speaks to your visitors, the Submitter language. A visitor reading the page in another language sees the label in that language, because the text is FormFlow's, not yours.

  • Clicking it opens your notice in a new tab, so nothing the visitor typed into the form is lost.

The Release entry lists the places the link is shown:

  • on the form itself

  • on the sign-in step of a roster form

  • on a closed form

  • after sending

  • on a returning result

If you check one state and not the others, you have only checked part of the feature. Walk through at least the form and the after-sending page, and if your team uses roster forms, the sign-in step as well. A closed form is easy to forget, because it only exists once you close one.

Limits to know about

  • The address must start with https:// and name a full domain. The entry states this requirement. It does not say what message you see when an address fails it, so test your address before you rely on it.

  • One link per team. The entry describes a single address in Team settings that applies to all of the team's hosted pages. It does not describe a per-form address.

  • The link text is fixed. It reads "Privacy notice" in the page's language. You cannot rename it or write your own wording.

  • Hosted pages only. An embedded form is not a hosted page, and the site that embeds it carries its own notice. A Microsite has its own legal links, so this setting is separate from them.

  • It is not FormFlow's own Privacy Policy, and it is not FormFlow's "Privacy choices", which concern FormFlow's measurement consent. This field is your notice to your submitters about what your team does with their data.

  • A link is not a notice. FormFlow does not write the notice, check what it says, or judge whether it satisfies any law that applies to you.

Where it is blunt

The Release entry describes a footer link and nothing more. It does not describe a consent step, a sentence beside the Send button, or a different link per form or per language. If your notice exists in several languages, you still enter a single address and decide yourself how that page serves each language.

If the address later moves, update the field. FormFlow links to what you gave it. Nothing in the entry says it follows redirects on your behalf or warns you when the page disappears, so put a check on your own calendar.
